Set up a farm's shared libraries

Why use this workflow

Farmlync separates reusable reference information from operational farm records. A shared library can define a disease, clinical protocol or product, but the farm must adopt the entries it actually uses before staff can select them reliably in day-to-day work.

Adoption creates an independent farm copy. Later changes to the platform entry do not update the farm copy, and adoption does not create stock, a treatment, a vaccination or any other completed farm event.

Before you start

• The organisation and farm already exist.
• A Platform Admin has prepared the global libraries.
• A Tenant Admin is available to adopt Diseases, Treatment Protocols and Vaccination Protocols. Platform Admins can also perform this work.
• For Products, the signed-in user has Manage inventory authority; this normally includes the Tenant Admin, Farm Owner and Farm Manager.
• The farm’s veterinary plan identifies which diseases and clinical protocols are appropriate.
• You know which products the farm uses and how each physical stock unit should be measured.

Note

The current page is visible to Farm Owners and Managers, but the three health-library APIs accept only Tenant Admins and Platform Admins. Owners and Managers can adopt Products but may receive an access error in the health tabs. This mismatch is recorded for correction.

Prepare the platform libraries

This section is for a Platform Admin.

1. Open Admin → Global libraries.
2. Review the Breeds, Diseases, Products, Treatment Protocols and Vaccination Protocols tabs.
3. Add or correct only entries that should be available for future adoption across Farmlync.
4. Use Seed defaults only when the standard catalogue entries are required. Read the inserted-count toast after the operation finishes.

Global entries are adoption sources. Editing or deactivating one affects future discovery; it does not rewrite copies already held by customer organisations or farms. Seed defaults also does not select entries for a farm or record any physical stock.

Farmlync maintains the global source libraries. This customer workflow starts when an organisation or farm adopts the entries it needs.

Open Add from library

1. Enter the intended Farm Portal and confirm the farm in the farm selector.
2. Open Setup → Manage.
3. Select Add from library.
4. Confirm that the farm name in the page introduction is the farm you intend to change.

The page contains four tabs: Diseases, Treatment Protocols, Vaccination Protocols and Products. The selected tab is retained in the URL, so links from Products can open the Products tab directly.

Find and select library entries

The same controls are used in each tab:

• Search by name or code waits briefly while you type and then asks the server for matching active global entries.
• Hide items already on this farm is on initially. Turn it off to see the current result window with On this farm labels.
• The result summary separates entries already on the farm from entries available to add.
• The page shows at most 100 matching entries. Refine a broad search to inspect the rest of the library.
• The checkbox in the heading selects or clears every currently visible, available entry. An already-adopted entry cannot be selected.
• The sticky action bar shows the total selection. Select Add n items to farm to submit it.

After adoption, read both the added and skipped counts. A skipped entry can already have been adopted, refer to an inactive or unavailable global row, or collide with a local code/name. Check the destination list rather than assuming every selected row was created.

Adopt diseases

1. Open Diseases.
2. Review the name, code, category and any Notifiable or Quarantine badge.
3. Select only diseases relevant to the farm and choose Add items to farm.
4. Open Health → Diseases and verify the new local entries.

The copy includes the description, symptoms, default-treatment text and regulatory flags. It does not automatically adopt a treatment protocol or medicine product. Review notifiable-disease and quarantine handling against the farm’s veterinary and legal requirements.

Adopt treatment protocols

1. Open Treatment Protocols.
2. Review the displayed drug, dosage, route and disease before selection.
3. Add only protocols approved for this farm’s veterinary plan.
4. Open the resulting farm protocol and verify its duration, instructions, milk withdrawal and meat withdrawal values.

An adopted treatment protocol is active and independent. The protocol stores the drug description; it does not adopt the matching inventory product or receive medicine stock. Complete the health-stock workflow before treatment recording depends on that product.

Adopt vaccination protocols

1. Open Vaccination Protocols.
2. Review the schedule name, description and rule count.
3. Add the required schedules.
4. Open Health → Vaccination Protocols and review every copied rule with the farm’s vet.
5. Link the correct stock product and quantity where the local rule requires them, then activate the protocol only when it is ready.

Every adopted vaccination protocol starts Inactive, does not apply itself to existing animals, and copies its rules without a stock-product link or quantity. Activating the reviewed local protocol enables its scheduling behavior; it does not record a vaccination by itself.

Adopt products

1. Open Products.
2. Use All categories or a category supplied by Farmlync, such as the available health or feed categories.
3. Review the name, code, category and badges such as Antibiotic or Controlled.
4. Add the products the farm actually uses.
5. Open Inventory → Products and review each farm product before receiving stock.

Bulk adoption creates an active, inventory-tracked product with Unit as its starting unit of measure. It copies relevant catalogue information such as active ingredient, dosage guidance, withdrawal defaults, regulatory identifiers and storage requirements. It records no on-hand quantity, batch, lot, expiry or unit cost. Correct the farm-specific unit and operational defaults before the first delivery where necessary.

Add opening or delivered stock

Library adoption is complete only when the reference entries are ready. Record real quantities through the appropriate inventory workflow:

• Set up health products and opening stock
• Set up feed products and opening stock
• Set up semen stock

Do not enter a planned order or expected delivery as physical stock. Receive the actual quantity, batch or lot, expiry and cost when the goods are present and verified.

Completion check

The workflow is complete when:

• every required disease and protocol appears on the correct farm;
• adopted treatment values have been checked against the veterinary plan;
• vaccination protocols have been reviewed, linked to the necessary product where applicable and deliberately activated;
• adopted products have the correct local unit and settings;
• actual opening/delivered quantities are recorded separately from the catalogue.
