Farms — list, create and edit

Admin → Farms manages the sites inside the selected organisation. A farm is the boundary for its herd, daily work, timezone, registry connection and many operating defaults. Platform Administrators first select the intended organisation in the Admin header; this list is then scoped to that organisation. A Tenant Admin sees their own organisation. Farm Owners and Managers see only farms on which they hold an explicit role. Create Farm is available to Tenant Admins and Platform Admins when the plan admits another farm; a farm-level Owner or Manager cannot create an additional farm from this page.

The list has Search farms… and a status selector: All Status, Active, Inactive or Deleted. Type a name or code and press Enter to apply the search; changing the status selector resets to the first page. Ten farms are shown per page. The columns are Name, Code, Timezone, Milking Sessions, Gov Body and Status. Select a live row to open its detail.

Deleted rows cannot be opened from the list. Tenant Admins and Platform Admins can select Deleted and use Restore; a successful restore shows Farm restored and refreshes the list. The backend can authorize a former farm Owner or Manager to restore, but the current list does not return deleted farms to those users, and its visible Deleted filter can show their live farms instead. Ask a Tenant Admin to restore the farm until that list mismatch is corrected.

If the list says Failed to load farms, it has not established that there are no farms. Retry the page when the connection returns. A platform administrator should also check the selected organisation before creating or restoring a farm.

Select Create Farm. The slide-over starts with a fresh form each time it opens. A Platform Admin must choose Tenant if none was preselected; a preselected tenant is shown as fixed context. Cancel closes the form without creating a farm.

Field What to enter
Farm Name Required, at most 200 characters. Use the name people will recognise in the farm selector and reports.
Farm Code Required, at most 50 characters. It is suggested from the name in uppercase with punctuation/spaces converted to hyphens, up to 20 characters. You may edit it; after manual editing, later name changes do not regenerate it. Review the code before saving because Edit Farm displays it read-only.
Timezone Required. Choose the farm’s actual IANA timezone using the country/timezone picker. This controls farm-local days, due dates and record interpretation; it can differ from the organisation’s display preference.
Milking Sessions Per Day Select 1, 2, 3 or 4; the new form starts at 2. It is a scheduling/configuration value, not a claim that milk has been recorded.
Herd Type Dairy, Beef or Mixed; new form starts at Dairy. This changes which livestock capabilities the farm can use. Pick it before registering animals.
Default Breed Optional tenant breed from the dropdown, filtered by Herd Type; None leaves the registration form without a breed prefill. This is a default, not a breed assignment to existing animals. Review it again if Herd Type changes.
Tag Label Optional catalog label for the farm’s management tag, such as Ear Tag or Freeze Brand. Tag Number (default) leaves the standard label. This is different from National ID.
Address Optional text, at most 500 characters.
Latitude / Longitude Optional decimal coordinates. Latitude must be −90 to 90 and longitude −180 to 180. Check that the point is the actual farm, not a nearby town.
Government Registry Optional provider from the currently offered dropdown. Choose None if this farm has no configured registry workflow. Selecting a provider alone does not establish credentials or submit records.
Herd Registry Number Optional identifier, at most 60 characters, if the chosen jurisdiction/provider uses one.
National ID label (optional) Farm-specific label, at most 60 characters. Leave blank to use the organisation’s label.
National ID requirement Inherit organization default, Required on this farm, or Optional on this farm. This controls whether animal identification forms and imports require the registry ID here.

Select Create Farm once. If validation or a quota rule rejects the save, read the error at the top or beside the field and correct it. On success, the slide-over closes and the farm list refreshes; find the new code in the list and open its detail. The code is useful for distinguishing farms with similar names.

The detail page shows the farm name, code and active status. Cards show Herd Type, Timezone, Milking Sessions on dairy/mixed farms, Default Breed, Tag Label, Address, coordinates when present, Government Registry and Herd Registry Number. Manage Users opens that farm’s people; Add from library opens reference-data adoption; Livestock Settings opens the farm-specific breeding and lifecycle overrides. Animal Groups and Pens list the first entries with add, edit and delete actions; use the Groups guide for membership and the Pens guide for physical housing, occupancy and feed-plan context.

Select Edit to change the farm’s name, timezone, milking-session count, herd type, default breed, tag label, address, coordinates, registry provider/number and National ID overrides. The Farm Code is displayed but cannot be changed in this form. Default Breed → None removes the prefill. Tag Label → Tag Number (default) restores the standard management-tag wording. Clear the National ID label override or choose Inherit organization default to return to the organisation setting. Save Changes writes the edit; reopen the detail to verify it.

Herd Type is a structural change. Changing Dairy or Beef to Mixed adds capabilities. Changing from Mixed to one type, or swapping Dairy and Beef, removes capabilities and is rejected while active animals remain. The herd-type operation requires Farm Owner authority. The edit form is also visible to Managers and does not hide this Owner-only control: it saves the other farm fields first, then sends a separate herd-type change if needed. A Manager’s structural change therefore fails after any other edits have already saved. Reopen the farm detail, check the actual values and ask an Owner to make the herd-type change; do not repeatedly submit the whole form.

Deactivate asks for confirmation. It removes the farm and its work from ordinary day-to-day use but does not delete its records; Reactivate brings it back. Delete is Owner-only, asks for confirmation and is disabled for the organisation’s last remaining farm. Choose a correction workflow for a mistaken animal or treatment record; farm deletion is not a record-correction tool.

When a Government Registry is selected, the detail page can show a connection card. Configure and check that connection before expecting registry submissions. A separate regulatory-jurisdiction card records the veterinary-medicines jurisdiction used for health safety rules. A provider selection, herd number and regulatory jurisdiction are related but distinct settings; verify each one where relevant. Follow Registry work before submitting or reconciling government actions.
