Milk recording and deliveries

Milk pages follow measured animal production through sessions, tank safety, collection and buyer payment. Use this guide to record each fact once and understand which milk can enter the saleable chain.

Open Farm → Milk to see production for the selected farm. Milk records belong to animals and recording sessions; tank collections and buyer deliveries are separate records. Before entering milk, check the farm’s milking-session setting and any active withdrawal holds.

The Milk pages have different purposes: Overview holds recording and tank work; Cohort analysis compares animal groups; Buyers and Routes define delivery recipients and routes; Deliveries records actual collections; Reconciliation compares records; Payout formulas, Milk price and Payout statement handle pricing and results. Set up buyers and pricing before depending on a payout figure.

Open the matching task above for its controls and result checks.

From the Milk overview choose Record → Record Milk for one animal or Batch Record for several. For one animal, select Animal, Recording Date and Time, Session and measured Yield in the displayed unit. Add Milked By or notes if useful. The form can prefill the previous yield and quality values, so check them against today’s actual measurement before saving. Optional quality and sensor fields include fat, protein, lactose, SNF, somatic cell count, temperature, conductivity and milking duration. Use Save & next only when you are deliberately recording another animal; otherwise save and check the record list. The overview’s daily yield and average depend on records present for that date; an empty day may show a dash rather than zero.

For Batch Record, set the date, session and operator, add each animal, then enter that animal’s yield. Optional fat, protein and SCC inputs are shared across every submitted row; do not use them for a measurement that belongs to only one cow. Check any withdrawal warnings and the success/failure summary after Save All. A recorded yield under an active milk withdrawal is still withheld from sale; recording it does not release the milk.

Use Import milk records or Import NMR recording when data arrives in a supported file. Check the preview, mapping and row errors before confirming. Start lactation is a separate action where needed; do not create a production record just to change lactation status. If a record was entered incorrectly, use its Edit or Void action as allowed and check the resulting history and totals.

The Milk Record menu includes Record Session Collection and Record Opening Balance. These represent tank/collection state and must match physical collection or opening evidence. Review the tank record, use Record Lab Results when results arrive, and inspect any quarantine or release control before treating milk as available. A tank entry is not an individual cow recording. If milk is under a withdrawal hold, follow the restriction shown in Health and the tank workflow.

Use Buyers to maintain the recipient, Routes for delivery arrangements and Deliveries for the actual collected volumes. Formulas and Settings define price or measurement rules, while Reconciliation compares recorded milk with delivery information. Payout statement shows the statement produced from those records. Correct the underlying missing or incorrect recording, delivery or rule before trusting a calculated difference. Cohort analysis provides animal-group production comparisons; use filters to ensure periods and animal groups match.

After recording, open the dated record list and check animal, session and volume. Use Reports → Milk production for a wider period; the report is a summary of saved records, not a replacement for checking the source.
