Treat an animal and check withdrawal

What this workflow achieves

Use this workflow after care was actually administered. It creates the animal’s clinical record and, where applicable, commits medicine-stock usage, costs, follow-up work and food-chain restrictions with it.

Farmlync records evidence supplied by the user; it does not prescribe a medicine, dose, course or withdrawal. Follow the product authorisation and the responsible veterinarian’s instruction.

1. Choose the correct recording mode

Open Farm → Health → Treatments → Record Treatment, or start the action from the animal, a veterinary visit, Work or Execution Mode.

Mode	Use it for
Medical → Quick Record	One straightforward medicine line with the commonly used fields.
Medical → More details	Multiple medicines, complete course quantities, declared withdrawal basis, stock, cost and follow-up evidence.
Non-medical	A genuinely drug-free husbandry activity. It creates no medicine stock usage or withdrawal.
Batch Treatment	Several animals that received the same condition, medicines, dose/course, time, performer, withdrawal, notes and follow-up.

Choose the mode before entering data. Switching Medical/Non-medical replaces the form; it is not a safe way to retain a draft. Do not choose Non-medical to bypass stock or withdrawal requirements.

2. Identify the animal, time and condition

Medical treatment controls

Field	What to enter
Animal *	Search by tag/name and select the actual animal. Typed search text alone is not a selection. An animal-specific action can lock this field.
Treatment Date and Time *	Exact administration minute in the farm timezone. Set to now resets it. Back-record the real earlier time because it anchors withdrawal.
Disease *	Select an adopted disease or commit a factual custom description, up to 200 characters. A custom value does not create a disease-library entry.
Treatment case	Optional existing open case for this animal, No case, or + New case…. Another animal’s or a closed case is rejected.
New case name *	Required when creating a case inline, up to 200 characters. Case and treatment save together.

The animal must be active on the selected farm and the user must have treatment-recording authority. Recheck the farm and tag before entering medicine details.

3. Record the medicine and administration

Field	Valid value and effect
Drug *	Choose an available farm Medicine product or + Custom drug (manual entry). Product selection can suggest dose, route, course and withdrawal; verify every value.
Drug name *	Required for a custom drug, up to 200 characters. It does not create an inventory product.
Dosage *	Required factual instruction, up to 100 characters. It is not automatically parsed into stock quantity.
Route	Optional Oral, Intramuscular, Intravenous, Subcutaneous, Topical or Intramammary.
Administered by	Optional until a role is chosen. Roles are Farmer, Staff, Veterinarian or Other; once chosen, an actual name is required, up to 200 characters.
Notes	Optional factual context, effective server limit 1,000 characters. Review dictated text.
Deduct from inventory	For a linked product, commits calculated usage. It does not control whether withdrawal applies.

The product picker normally excludes tracked medicines with no on-hand stock. A custom medicine can record care supplied outside tracked stock. Do not invent stock or a product merely to populate the picker.

Course and quantity controls

Select More details. A treatment accepts 1–20 medicine lines. Each line has separate medicine, route, course, withdrawal and stock settings.

Units per dose	Whole inventory-unit multiplier at least 1. It is not body weight or number of animals.
Administrations	Calculated Days × Times per day.
Total quantity	Calculated Days × Times per day × Units per dose.
Planned dose per administration	Optional positive amount up to 9,999,999.999 with at most three decimal places.
Dose unit	Required with planned dose amount; leave both blank or complete both.
Is Antibiotic	Match the medicine actually administered. It influences reporting and shows withdrawal warnings.
Batch / Lot Number	Optional, up to 100 characters. It does not select an inventory batch by itself.
Drug Expiry Date	Visible for manual medicine, but the current request does not retain it. Maintain expiry on the Inventory stock batch and retain source evidence.

For example, 3 days × 2 times/day × 1 inventory unit means 6 planned administrations and 6 inventory units. It is arithmetic, not clinical advice, and it does not prove each dose was administered.

4. Record the withdrawal basis and values

Each medicine contributes independently to effective milk, meat, organic and other restrictions. A shorter medicine interval never cancels a longer existing hold.

Blank means no value was supplied; it does not establish a known zero.

Authorised/cascade evidence

Changing basis clears incompatible fields. Read the live resolution: product figure, statutory minimum and prescribed values can combine into the effective restriction. Cannot be saved as declared means evidence or configured jurisdictional resolution is incomplete; ask the responsible professional rather than guessing.

5. Check stock, cost and follow-up

The stock preview shows proposed batches, expiry, available quantity, requested quantity and shortage. Allocation follows Inventory rules; a typed lot number does not choose a stock batch.

• Ordinary medicine shortage can allow the clinical fact while recording a stock shortfall to investigate.
• A controlled-substance shortage can block the treatment.
• Turning inventory deduction off does not remove withdrawal.
• Medicine cost comes from consumed stock and should not be re-entered as Other cost.
• Vet cost and Other costs accept non-negative amounts with at most two decimals, up to 99,999,999.99.
• A veterinary-visit-linked treatment cannot also own a separate Vet cost because the visit owns that fee.

Select + Add Follow-up when future work is intended:

Remove	Clears this unsaved follow-up.

A follow-up is planned work, not proof that it happened.

6. Save one treatment and verify it

Select Save Treatment once. The treatment, required stock effects and milk restrictions are intended to commit together. After the success result:

1. Open Health → Treatments and find the animal, condition and farm-local time.
2. Inspect every medicine line, route, course, performer and cost.
3. Inspect effective milk and meat hold endpoints, including exact time for hour-based milk holds.
4. Review linked case and follow-up work.
5. Open Inventory movements when stock was deducted.
6. If treatment was back-recorded, inspect milk already recorded in the affected interval.

An unsubmitted form, stock preview or withdrawal preview is not a saved treatment.

7. Record a batch treatment safely

Use Batch Treatment only when every selected animal received the same treatment facts. Select 1–500 unique active animals by current selection, group or individual search.

The batch Quick Record uses the same Treatment Date/Time, Disease, Drug, Dosage, Route, performer, notes and inventory controls for all animals. More details supports up to 20 shared medicine lines with course, direct withdrawal and stock values.

Important differences from individual treatment:

• the batch does not attach records to treatment cases;
• the batch UI does not expose the full authorised/cascade declaration—use individual treatments when that evidence is required;
• Total batch cost is divided in whole cents across successful animals only; and
• stock demand equals per-animal course quantity × successful-animal count.

Review Treat N Animals immediately before submission. The result lists success or failure per animal. Retry failed animals now submits only failures with the same shared facts; correct their cause first. Already successful animals retain their records and must not be resubmitted.

Verify that each success has its own treatment, restrictions and stock movement. A shared validation error blocks the request before individual writes; animal-specific problems can produce partial success.

8. Record the outcome or extend follow-up

On the saved treatment row choose Outcome:

Outcome	Effect
Ongoing	Treatment stays Active.
Recovered	Completes the treatment.
Chronic management	Completes it with that outcome.
Deceased	Completes the treatment, but does not record the animal’s lifecycle death/exit.
Failed	Completes the treatment and can open a separately reviewed replacement treatment.

Add optional outcome Notes up to 1,000 characters. Switch to a different medication saves the Failed outcome first, then opens a new treatment; the new medicine is not recorded until that second form is submitted.

Use Extend follow-up instead only when care genuinely remains Ongoing. The new date must be later than farm today and later than the existing follow-up. For bulk outcomes, one request accepts at most 200 eligible treatments and can partially succeed; do not resubmit confirmed successes.

Mark completed changes course status. It is different from recording an outcome and different again from confirming the actual final administration that anchors withdrawal.

9. Confirm the final course administration

When a declared course creates Confirm course completion work, use it only after the final dose was observed.

Control	What to enter

Release evidence	Optional when preserving/lengthening the hold; mandatory if the entered time would shorten any projected restriction, up to 500 characters.
Reason for correction	Required when authorised Support performs the action, up to 500 characters.
Confirm completion	Closes the current course revision’s open completion hold and recalculates restrictions from the observed final dose.

An Owner, Manager or Vet with treatment authority can confirm, but shortening withdrawal also requires Owner/Manager inventory authority and evidence. A later material course correction can create a new revision that needs confirmation again.

Confirmation can withhold earlier milk when the course ended later. It does not automatically release a lot already withheld when the interval becomes shorter.

10. Check withdrawal clearance before release

Open Health → Overview → Withdrawal clearance. It lists unique animals derived from active treatment restrictions.

Use Milk restricted, Meat restricted, Both restrictions and Clearing today, plus the day bars, to narrow the view. The treatment count can exceed the animal count when several treatments contribute to one animal’s hold.

Before milk collection, sale, slaughter or food-chain movement:

1. check the animal and produce type;
2. inspect the exact farm-local end date and time;
3. confirm no other medicine or treatment has a longer hold;
4. confirm no course remains open awaiting final administration;
5. follow any required test or professional release evidence; and
6. inspect affected milk lots where milk was already recorded.

Clearing today can still mean the endpoint is later today. The Withdrawal Calendar is a planning view and can omit holds outside its selected window or open course-completion holds; use the current animal restriction as the release gate.

11. Correct or void a saved treatment

Use Correct for wrong saved details. Supply Reason for change up to 500 characters. If a correction shortens or removes withdrawal, supply release evidence (10–1,000 characters) and have an authorised Owner/Manager approve it.

Correction can change the actual time, disease, existing medicine details, route, course, withdrawal, stock quantity, performer, costs and notes. It does not add/remove medicine lines; record a newly administered medicine as a new treatment. Farmlync recalculates stock and restrictions while preserving correction history.

Use Void only for an erroneous treatment and within the configured void window (24 hours when unchanged). A reason is required. The original remains in audit history while stock and withdrawal effects are reversed as allowed.

Never create a duplicate treatment solely to hide a mistake.

Completion checklist

• Correct farm and animal were confirmed.
• Administration time is the actual farm-local minute.
• Disease, medicines, dose, route, performer and course reflect source evidence.
• Withdrawal basis and units match product/veterinary instruction.
• Inventory quantity and batch allocation were reviewed.
• Saved treatment, stock movement and follow-up were verified.
• Effective milk/meat holds were checked independently for each animal.
• Final administration was confirmed when the course requires it.
• Release occurred only after every applicable hold and evidence requirement cleared.
• Corrections use audited Correct/Void actions rather than duplicate records.
