Organisation users — invitations, roles and farm access
What this page helps you do
Section titled “What this page helps you do”Admin → Organisation users is the organisation-wide directory for the people who work across your farms. It lets a Tenant Admin give one person access to every farm or select several farms with a different role on each. The farm’s Users page shows the same assignments filtered to that farm. A farm role controls work on that farm; Tenant Admin is a separate organisation-wide permission.
A Tenant Admin can manage their own organisation. A Platform Admin must first choose Managing organisation; that selection scopes this page and does not sign them in as a customer. A suspended organisation must be reactivated before its users can be managed. Customer administration is unavailable in the read-only support view.
Find a person and read the list
Section titled “Find a person and read the list”Find users searches by name or email. Searching is case-insensitive and matches text anywhere in either value. The current page starts searching as soon as the text changes, so pause after entering the intended name or address rather than typing repeatedly over a slow connection. The list shows 20 users per page and has these columns:
| Column | Meaning |
|---|---|
| User | Full name and email; You marks your own account. |
| Organisation role | Tenant Admin or Member. A farm Owner or Manager is still a Member unless separately promoted. |
| Farm access | All farms includes farms added later. Otherwise the assigned farm and its role are shown; expand more farms when there are over three. No farm assignments means no selected-farm assignment remains. |
| Status | Shows whether the person is active, has a pending/expired/revoked invitation, or is disabled or suspended. Read this before assuming an invitation granted access. |
| Actions | Shows only actions currently allowed for that person and invitation. |
If the list fails to load, use its retry control. An empty list after a search means no matching users, not necessarily an empty organisation.
Add / Invite User: every control
Section titled “Add / Invite User: every control”Select Add / Invite User. The slide-over loads the available active farms and roles. Do not submit until you have checked the email and intended scope.
| Control | What to enter or choose |
|---|---|
| The person’s email address. They must accept using this same address. An invalid email is rejected. | |
| Full name | Between 2 and 100 characters. Use the name colleagues will recognise in the user lists. |
| Farm access → All farms | Give the person one role on every current and future farm in this organisation. Then choose Role on all farms. |
| Farm access → Selected farms | Assign individual farms, each with its own role. At least one farm is required for a new invitation; choose at most 200. New farms are not included automatically. |
| Default farm role | A convenience choice for selected-farm editing. The available roles are Owner, Manager, Vet and Worker. Selecting a farm uses the current default, but check the role displayed beside every selected farm before saving. Apply to selected changes the role on all currently selected farms to the default. |
| Find farms | Filters the displayed farm choices by name. It does not change assignments by itself. |
| Selected farms / Role for [farm] | Tick each farm and choose a valid role for it. Unticking removes that assignment. The role choices come from Farmlync’s current farm-role list. |
| Cancel / Add / Invite User | Cancel closes without saving. Add / Invite User submits once and reports whether an invitation was sent or existing access was updated. |
An invitation reserves the proposed access, but the person cannot use it until they accept. Ask them to open the latest email and complete sign-up or sign-in with the invited address. Then refresh the directory: Pending invite should become an active status. Check one assigned farm’s Users page as a second confirmation. If the email already belongs to a fully enrolled Farmlync user who is not yet a member of this organisation, Farmlync can add the access directly and sends an access-added email instead of a new-account invitation. If the person already belongs to this organisation, edit their existing row rather than using Add / Invite User again. If a seat limit rejects the invitation, review the plan and existing active/pending seats rather than repeatedly submitting.
Edit access or an invitation
Section titled “Edit access or an invitation”Use Edit invitation on a pending row or Edit farm access on an active one. The person’s name and email are displayed, not editable in this slide-over. The same All farms / Selected farms controls and role choices apply. Save farm access writes the new assignment; Cancel leaves it as it was. A changed-access error means the row changed since you opened it: refresh, inspect the current assignments and retry your intended change.
For an active selected-farm member, saving with no selected farms removes their farm assignments but leaves their account and organisation membership. For a pending selected-farm invitation, saving with no selected farms revokes the invitation and releases its reserved seat; it does not delete the account. The warning in the form describes which case you are about to perform. A pending member whose invitation is still needed may require Resend invitation after editing; use that action when it is offered. To replace an expired or revoked invitation, choose Add / Invite User with the same email.
Give or remove Tenant Admin authority
Section titled “Give or remove Tenant Admin authority”Make Tenant Admin grants organisation-wide administration and access to every farm. Remove Tenant Admin removes that organisation role; any separate farm assignments remain. These buttons use a Confirm / Cancel step and appear only for eligible active Operator members, not for your own row or an unaccepted invitation. You cannot remove your own Tenant Admin role, and Farmlync prevents removal of the last active Tenant Admin. Make another eligible user a Tenant Admin first when responsibility must be transferred. Review the confirmation wording before changing the role. Editing farm access alone never makes someone a Tenant Admin.
For one-farm adjustments, open Admin → Farms → [farm] → Manage Users or the farm’s Users page. For the full joining sequence, see Invite a person and assign farms.
