Your first day in Farmlync

This guide takes you from an empty account to a usable farm. You need an email address you can open and the basic details of your farm. If someone has invited you to an existing organisation, use Accept an invitation instead of creating another organisation.

For the same steps connected in one example, open A worked first-farm setup. It distinguishes a library definition, physical stock, an animal registration and an actual saved daily event.

  1. Open Farmlync and choose Sign up. If the sign-in page is already open, choose Sign up there.
  2. Choose Continue to create an account. Enter your email on the secure account page, receive and enter its verification code, and set your password. Follow any further verification shown on screen.
  3. Return to Farmlync. If setup is still in progress, keep the page open; the setup screen checks again automatically.

Your account is yours even before it belongs to an organisation. You can open Profile to review your name and account settings. See Account and navigation if sign-in or account selection is confusing.

  1. Choose Create organisation or Register a new organisation when Farmlync offers it.
  2. Enter the business name and select the country. For countries with more than one timezone, select the correct Region; Farmlync uses the farm’s timezone for dates such as “today” and medicine withdrawal end times.
  3. Select the Farm type: Dairy, Beef or Mixed.
  4. Read How can Farmlync Support help? and choose Allow support, Ask me first, or Off. Open What support can do before deciding. This choice can be changed later under Support access.
  5. Submit the form and wait for setup to finish. Farmlync provisions the organisation, its subscription and a default farm; do not submit the form again while the progress page is shown.

The organisation is the account that owns farms, users, billing and shared settings. A farm is where animal and daily-work records live. Check the organisation name under Admin → Organisation, then open Admin → Farms to see the farm created during setup.

Open Admin → Farms and select the farm. Review its name, code, timezone, herd type and settings. If you operate a second site, use Create Farm on this page. Follow Configure organisation and farm defaults before a large import, then see Organisation and farms: records are always entered against a selected farm.

Use Go to Farm or the portal switcher to enter the Farm portal. If you have one farm, Farmlync opens it directly. With several farms, select the one you want; View all farms in the farm switcher always returns to the selector.

4. Prepare the choices and stock your farm uses

Open Manage → Add from library on the farm. Search and add relevant diseases, treatment and vaccination protocols, and product catalog entries. A newly added vaccination protocol stays Inactive until it is reviewed with your vet. Adding a product to the catalog does not add stock: receive the actual medicine or feed delivery under Inventory when it arrives. Semen sires and straw batches are set up separately under Breeding → Semen Stock. Follow Set up a farm’s shared libraries, Health stock, Feed stock and Semen stock for the complete setup.

Before recording milk, health or breeding, animals need records.

  1. In the Farm portal, open Animals → Animals list and choose Register animal.
  2. In Identity & Birth, enter the required tag number, breed, sex and date of birth. Name is optional. Follow any extra national-ID requirement displayed for your farm.
  3. Continue to Farm Entry & Parentage. Select how and when the animal entered, and add a pen, group and parents if you know them.
  4. Review and submit. Open the new animal from the list to check its tag, identity and farm entry.

For a large herd, use Import on the Animals list and check the import preview and errors before submitting. The Animals manual explains both paths and what to do if a tag already exists.

Open Work to see jobs that need attention, or use the module for the task: Milk for a milk record, Health → Treatments for a treatment, Breeding for a service, and Feed → Events for feeding. Select the correct animal, enter the event’s actual farm-local date and complete the form. Check the saved record in the module’s history before entering a second event.

If you record a treatment with a withdrawal, check the resulting milk/meat hold before using that animal’s produce. Health and treatments explains the hold display and why a projected end is not always clearance.

Open Admin → Organisation users → Add / Invite User. Enter the person’s email and name, choose whether they need all farms or selected farms, and assign the role for each farm. Send the invitation. Their access starts only after they accept it with the same email. You can edit farm access later from this page; farm-level Users shows the same assignments for one farm.

Give people only the access they need. A Worker will not see every page that an Owner or Manager sees. Users and access explains invitations, roles and what to check when a menu is missing.

  • Animals list contains the animal you registered.
  • Work, the relevant module history and Reports reflect records entered for the selected farm.
  • Admin → Farms shows every farm in the organisation.
  • Admin → Organisation users shows invitations and accepted members separately.

If a save fails, read the message on the form. Keep the draft open, correct the highlighted field and submit again. If you see another organisation or farm, use the portal switcher to return to the intended one before continuing.
