Record fertility exam

What this form helps you do

Use Record fertility exam to preserve the findings from a post-natal check or a general fertility investigation for one female animal. The record becomes part of the animal’s breeding history and can create a follow-up examination due in 7 or 14 days.

This form records the examination and its narrative. If medicine was administered and stock or withdrawal evidence must be recorded, also create the appropriate record under Health → Treatments.

Where to open it

You can open the form from:

Livestock → Breeding → Worklist → Exam for an eligible animal;
a fertility-examination item in Today’s Work or execution mode; or
the animal profile’s Breeding → Exams tab by selecting Record exam.

The action is available to an Owner, Manager or Vet with permission to record breeding events. It is recorded for one animal at a time; the reproductive worklist does not batch fertility examinations because the findings belong to the individual animal.

Before you start

Confirm that the selected animal is the animal examined. Farmlync permits this record only for an active female animal.
For Post-natal check, make sure the animal has a calving recorded on or before the exam date.
Have the vet’s findings and follow-up decision available.
Record the actual farm-local examination date. A completed exam cannot be dated in the future.

Fields

Exam type	Yes	Post-natal check for a routine examination following a recorded calving, or Fertility exam for a general fertility work-up. The form starts with Post-natal check selected.
Exam date	Yes	The farm-local date on which the examination was performed. It starts with today. Future dates are rejected.
Left ovary	No	Not examined, Normal, Corpus luteum (CL), Follicular cyst, Luteal cyst or Inactive. Leave blank when no finding was recorded.
Right ovary	No	The same controlled choices as the left ovary. Record each side independently.
Uterine condition	No	Normal, Involuting (normal post-calving), Endometritis, Metritis, Pyometra or Other.
Uterine grade	No	Grade 0, 1, 2 or 3. This is the clinical 0–3 endometritis grade; leave it blank when the uterus was not graded.
Diagnosis	No	Normal / cycling, Anoestrus, Sub-oestrus, Cystic ovaries, Uterine infection or Other.
Treatment given	No	A brief examination narrative such as the treatment or device used. The value accepted by the server is at most 200 characters. This text does not deduct medicine stock or create withdrawal periods.
Follow-up	Yes	No follow-up, Re-examine in 7 days, Re-examine in 14 days or Examination complete. The form starts with No follow-up.
Vet name	No	Name of the vet or clinician who performed the examination, up to 200 characters.
Notes	No	Additional clinical context, up to 1,000 characters. Do not repeat a stock-deducting treatment here instead of recording it under Health.

Choose the follow-up carefully

Choice	Result after saving
No follow-up	Saves the exam without creating another due examination.
Re-examine in 7 days	Saves the exam and schedules a fertility re-examination seven farm-calendar days later.
Re-examine in 14 days	Saves the exam and schedules a fertility re-examination fourteen farm-calendar days later.
Examination complete	Saves the exam and ends the current examination chain without scheduling another re-exam.

Recording an exam completes any pending fertility re-examination action for that animal. Choosing a 7- or 14-day follow-up then creates the next due action.

Save and verify

Recheck the animal, exam type and date.
Select Save exam once and wait for Fertility exam recorded.
Open the animal profile’s Breeding → Exams tab. Confirm the type, farm-local date, days since calving when applicable, diagnosis and findings. This list also shows any follow-up interval and the saved notes.
If a re-examination was selected, confirm the new due action appears in breeding work.
If medicine was administered, verify its separate Health treatment, product, stock and withdrawal record.

Farmlync prevents two examinations of the same exam type for the same animal on the same farm-local day. The current farm portal displays saved exams as read-only and does not provide an edit or delete control. Check the record carefully before saving; if an existing record is wrong, do not create a second copy and follow your organisation’s correction process.

Common problems

Message or symptom	What to check
Post-natal check needs a calving	Record or correct the animal’s calving first, and make sure it is not later than the exam date.
Fertility exams can only be recorded for female animals	Confirm the animal and correct its sex only if the identity record is genuinely wrong.
Animal is not active	Review the animal’s lifecycle or departure status. Do not add clinical history to a departed or otherwise inactive animal.
An exam of this type already exists for that day	Open the fertility-exam history and verify the existing record instead of submitting it again.
Treatment text is rejected	Shorten Treatment given to 200 characters and keep longer context in Notes. Create a Health treatment when medicine, stock or withdrawal evidence is required.
